This guide explains how to configure a workflow to automatically create Google Workspace accounts. With this setup, you can automate routine tasks such as provisioning accounts on an employee’s start date. ※ Services that require creating an additional email address, such as Microsoft 365, follow the same steps.

Prerequisites

Confirm the following settings are complete before creating a workflow.
This service performs operations on behalf of the “Super Admin” account connected to Google Workspace.Because accounts outside the connected workspace cannot be created, you must connect each workspace individually.

Mapping in the workflowGo to Automation > Services > Connection Settings > [Add Connection] and confirm that the target Google Workspace domain is mapped in the “Add Service Connection” screen.

Register directory informationGo to Directory > Directory Information and configure the following as the workflow trigger and account information.
Email addressRegister the new email address to be created in Google Workspace. The address does not need to exist at this point. It will be activated in Google Workspace after the automation runs.
Employment start dateThis serves as the reference date for when the automation runs (e.g., the employee’s start date).
TypeUsed to filter the targets, such as full-time employees or contract employees.

Notes

  • Domain mismatch The directory email address domain must match the domain configured in the prerequisites. Otherwise, an error occurs.
  • License count If the Google Workspace license limit has been reached, account creation will fail. Check the available license count in advance.
